Does Your Closely Held Company Have the Appropriate "Corporate" Structure?

Does your company have an organizational chart? You might think your company isn't large enough to have one, and you may be right. However, no matter the size of your organization, you may be surprised how this document serves as a very useful communication tool.

Organizational charts serve many important functions. They enable others to visualize the organization and can be used as a baseline for planning, budgeting and workforce modeling. These charts are also a great way to share your organization’s visions and define employee responsibilities, relationships and lines of authority.

As we went through this process with one of our clients, we realized that the company had opportunities for to improve efficiency. The project included written job descriptions and segregation of duties in order to strengthen internal controls.

After the project was completed, individuals more clearly understood their individual responsibilities, who they reported to and how everyone in the company "fit" together.

A few more benefits of detailed job descriptions and an organizational chart are:

  • Potential elimination of duplicated tasks.
  • Assignment of work to appropriate level individuals. You may be surprised what individuals believe their job responsibilities include. You also may learn that you have employees who are under-utilized.
  • Once completed, job descriptions provide a measure for future performance evaluations.
